Internal Sponsorship Guidelines

For all requests

If you are requesting support for student clubs and organizations, academic departments or other units that are part of Oregon State University, please review these guidelines before submitting your request.

 

For Recognized Student organizations (RSO)

Official requests from RSOs at Oregon State will need to submit their request as part of their Activity Plan in Ideal-Logic. Please review the guidelines below before making your request.

  • For timely processing of your funding, please submit your request at least 4 weeks before your event date. 

  • Review of your request by the Office of Institutional Diversity team may take up to 2 weeks.

  • OID sponsored events should advance goals outlined in OSU's Diversity Strategic Plan. As part of your request you will be asked to describe how your event advances one or more of these goals.
    • Integrate and advance inclusive excellence within all aspects of the university.
    • Improve recruitment of students and employees from underrepresented communities.
    • Create an inclusive university climate to support the retention and success of all students and employees.
    • Provide innovative and transformative learning experiences enabling all students and employees to advance inclusive excellence.
    • Communicate Oregon State’s accomplishments, initiatives and innovations as the university advances inclusive excellence.
  • Funding for Special Events
    • Must be open at all OSU students (recruitment activities and general Meetings excluded).
    • A series of connected activities all occurring within a 2-week period shall be considered one event for funding purposes (i.e. conference, awareness weeks, competitions, etc.)
  • Expenses allowed with sponsorship funds:
    • Support for talks, lectures, presentations and events at OSU:
      • Honoraria
      • Travel for speaker/presenter
      • Room rental
      • Refreshment
      • Printing and postage
      • Supplies
      • Advertising
    • Faculty/staff/student professional development: travel for professional conferences or research
  • Expenses  NOT allowed with sponsorship funds:
    • Alcohol
    • Activities primarily geared towards Non-OSU Students or Employees (less than half of the anticipated participants are OSU Students or Employees)
    • Clothing or accessories that will become personal property of an individual
    • Gifts or prizes

 

  • Up to $1000 per event for up to 50 participants.
  • Up to $2,000 per event with more than 50 participants.
  • An organization may be funded for one event per year.
  • These amounts are not guaranteed. Final allocation amount will be determined during department review.
  • Larger awards may be granted at the discretion of the Office of Institutional Diversity team.

  • Promotion and Advertising
    • Organization must publish the event on the OSU Events Calendar with event topic Diversity/Equity/Inclusion
    • Include the Office of Institutional Diversity as a sponsor of the event
    • Tag @osudiversity in social media posts related to the event.
